Effective date: October 5, 2026
These terms govern use of the Gear and Spaces reservation features and connected invoicing features of the MIP calendar portal, operated by Movement Infrastructure Project Corporation (“MIP,” “we,” or “us”). They apply to requesters and authorized administrators; they do not replace a separate equipment-loan, venue-use, staffing, or other written agreement with MIP.
Permission to use the portal
Subject to these terms, MIP gives you a limited, nonexclusive, nontransferable permission to access and use the portal for legitimate reservation and related administrative purposes. This permission does not transfer ownership of MIP's software, branding, or other materials.
You must be legally able to enter applicable agreements, provide accurate information, and have authority to act for any organization you represent. Administrative access is limited to people authorized by MIP, who must protect their accounts and promptly report suspected misuse.
Requests, confirmation, and charges
Submitting a request does not itself confirm equipment availability, a space booking, staffing, or final charges. MIP will communicate approval and relevant arrangements separately; equipment use, access, cancellation, refunds, damage responsibility, and similar matters are governed by the applicable reservation confirmation or separate agreement.
Displayed contribution estimates and prefilled invoice lines should be reviewed. The final invoice states the applicable amount and payment deadline; the portal's default is 15 days after the invoice date unless MIP specifies otherwise.
These app terms do not create late fees, cancellation fees, or new payment obligations beyond what is otherwise agreed. Contact MIP promptly about an invoice error or disputed amount; a payment or contribution should not be assumed to be tax-deductible solely because it is described as a contribution.
Invoicing and administrator responsibilities
Authorized administrators may prepare a portal draft, create an invoice in MIP's QuickBooks company, and send it through QuickBooks. Saving a local draft is different from creating a QuickBooks invoice, which makes an accounting record.
Administrators are responsible for reviewing the customer, recipients, invoice lines, amounts, tax treatment, dates, and message before creating or sending an invoice. QuickBooks company settings may affect invoice behavior, including automatic emails; administrators must check those settings before enabling the integration and must not assume the portal overrides them.
The portal may display balances and email status retrieved from QuickBooks. Those displays can lag behind changes, and a reported email-send status is not proof that a recipient received or read the message.
Third-party services
The portal relies on third-party services for hosting, storage, email, scheduling, task coordination, and accounting. Their availability, terms, authorization requirements, and functionality may affect portal features.
Only a person authorized to connect MIP's QuickBooks company may grant the integration access. Routine invoicing uses the stored authorization, but expired or revoked access may require a new authorization.
The portal is not a payment processor and does not provide accounting, tax, or legal advice. Any payment service used through an invoice operates under its own terms.
Information and acceptable use
You retain any rights you have in information you submit. You authorize MIP to use and share it as needed to handle your request and operate the service as described in the MIP Reservations Privacy Policy.
Do not impersonate another person, submit misleading requests, access records without permission, interfere with the service, introduce malicious software, or use the portal unlawfully. Do not submit unnecessary sensitive information or another person's information without an appropriate basis to do so.
Availability and access restrictions
MIP aims to provide a useful service but does not promise uninterrupted operation, error-free information, or availability of every requested resource. To the extent permitted by law, the portal is provided “as is” and “as available,” without warranties of merchantability, fitness for a particular purpose, or noninfringement.
MIP may change or temporarily suspend features, or restrict access for security, misuse, maintenance, or operational reasons. Suspension or loss of portal access does not by itself cancel an existing reservation agreement or erase legitimate outstanding obligations; contact MIP if the portal is unavailable.
Nothing in these terms excludes rights or liabilities that applicable law does not allow to be excluded. These terms do not add a separate monetary cap on liability.
Changes and contact
MIP may revise these terms by posting an updated version and effective date, with additional notice or acceptance where appropriate. Changes will not retroactively alter an agreed reservation or charge without an appropriate agreement or legal basis.
For app support, billing questions, or concerns about these terms, contact Movement Infrastructure Project Corporation at info@movementinfrastructureproject.org. These terms concern the portal service only; request a separate written clarification if an equipment, venue, or staffing arrangement is unclear.
